Turn an enquiry into a booking

When you’ve agreed a tour with someone who wrote to you through your Contact page or a private tour request, turn the enquiry into a booking. It becomes a real booking, like an accepted booking request: it gets a reference, goes in your calendar, and the traveller gets a reminder before the tour and a review request after it.

Turn it into a booking

1. Click Enquiries, then the enquiry.
2. Click Turn into booking. It’s beside Close enquiry, and under your reply.
3. Check the form. AI fills it in from your conversation: the tour, date, start time, group size, price and anything else you agreed.
4. Click Save booking.

Nothing is saved until you click Save booking.

Under each field the AI filled in, you can see where it came from, such as “From Ann’s message, 6 Oct 14:53”. If something wasn’t mentioned, the field is left empty with Not mentioned yet, so the AI never guesses. If it isn’t sure which of your tours you agreed, it leaves the tour empty and names the likeliest ones.

To fill it in yourself instead, click Fill in myself.

When it looks agreed

When someone replies to an enquiry and it looks like you’ve agreed a tour and a date, the enquiry shows Looks like you’ve agreed a tour with … Turn it into a booking?, and so does the top of Home. Click Turn into booking, or Dismiss if it isn’t right: it won’t ask again on that enquiry.

AI checks each new reply once, on plans with AI.

A custom or private tour

If you agreed something that isn’t one of your tours, choose Custom or private tour and give it a title and a length. It’s kept off your site and your tours list.

The confirmation email

Email them a booking confirmation is ticked. They get your confirmation with a calendar invite and a link to manage their booking. Their replies come back to the same conversation. Untick it if you’ve already confirmed it with them.

Before you save

Some things are worth a check, and the form tells you about them:

• the date is in the past
• you already have a booking that day
• you marked that day as not running or sold out for the tour
• the group is bigger than the tour’s maximum

None of these stop you saving.

After you save

The enquiry shows Booked, with a link to the booking, and the booking links back to the enquiry. You can find booked enquiries under Booked on Enquiries. You can carry on the conversation in the enquiry as before.

AI and your plan

On Starter, each AI fill-in uses one of your 10 AI drafts a month, the same ones as Write with AI for tours. Pro and Custom have no monthly limit. If you’ve used them, or the AI isn’t working, you get the form to fill in yourself.
